My signature isn't appearing on new emails

If a new email opens without your signature, it's almost always one of a handful of causes. Work down the list.

1. Is a signature assigned to you?

MailTail only applies a signature that's been assigned to your mailbox. Your administrator sets this in the MailTail dashboard, either directly to you or to a group you're in. If nothing is assigned, nothing is applied.

Check: open the MailTail pane from the ribbon. If it shows no signatures, ask your admin to assign one.

2. Is auto-apply switched on?

Signatures can apply automatically on every new email, or be inserted manually from the pane.

Check: in the MailTail pane, confirm auto-apply is enabled. If it's off, either turn it on or insert the signature manually from the pane.

3. Give it a moment on the first email

The first new email after opening Outlook can take a second or two while MailTail signs you in and fetches your signature. Later emails are instant. If it only fails on the very first email of a session, this is usually why.

4. Try a different Outlook client

If it works in Outlook on the web but not on your desktop (or vice versa), that points to a cached copy on the client that's failing.

Fix: follow The add-in isn't updating for your specific client.

5. Clear the cache

A stale cached copy of the add-in is the most common cause of "it just stopped working." Clearing it forces the current version.

Fix: clear the add-in cache for your Outlook client.

If you've worked through all of these and it still doesn't appear, email support@mailtail.io and tell us: which Outlook client and version (shown at the bottom of the MailTail pane), whether the pane lists a signature, and whether auto-apply is on. That's usually enough for us to pinpoint it.
