My name, title, phone or company is blank in the signature

MailTail signatures use placeholders like your name, job title, phone number and company. When a signature applies, MailTail fills those in from your Microsoft 365 user profile, the same details your IT team manages in Microsoft Entra ID (formerly Azure AD).

So if a field comes out blank, it's almost always because that field is empty on the profile, not because the signature is wrong.

What maps to what

Each signature field comes from a field on your Microsoft 365 profile:

  • Name comes from your display name
  • Job title comes from your job title
  • Company comes from your company name
  • Department comes from your department
  • Mobile comes from your mobile phone
  • Phone comes from your business phone
  • Office comes from your office location

How to fix a blank field

The field needs to be filled in on the Microsoft 365 profile. An administrator can do this:

  1. Sign in to the Microsoft 365 admin centre.
  2. Go to Users, then Active users, and select the person.
  3. Open Manage contact information (or Edit on the relevant section).
  4. Fill in the missing detail, such as job title, company or phone, and save.

Directory changes take a little while to propagate through Microsoft's systems. After updating a profile, wait a while, then open a new email to see the updated signature. Existing drafts won't change.

"I edited the signature HTML and now a field is blank"

If you're editing signature HTML directly, a placeholder only renders when it's written exactly as MailTail expects and the underlying profile field has a value. If you removed or altered a placeholder, that field won't fill in. Re-add the placeholder from the editor rather than typing it by hand.
